One
of Phoenix Corporate Services, Inc.'s clients offers regulatory and
tax reporting services for various trucking operations. This service
involves completing numerous forms for different state and federal agencies
and the filing of these forms with the respective agencies. As their business grew, it
became evident that manually maintaining their client records on index cards
was becoming increasing inefficient. The manual effort required to
complete the various forms was also restricting their ability to complete these
forms in an efficient and timely manner. In addition, these
limitations restricted their ability to increase their client
base without having to greatly increase their staffing. Phoenix Corporate
Services, Inc. was approached to analyze the workflow process and
recommend a solution. The solution was an automated management
information system with integrated regulatory forms processing. To
provide this solution Phoenix Corporate Services, Inc. did the following:
- Designed and created a comprehensive database for all information related to their trucking clients
- Developed an application with data entry forms for entering and maintaining the client information
- Developed Acrobat forms from state and federal forms that allowed for entering and editing data in the required fields
- Developed an interface between the client application and the Acrobat forms that automatically filled in the form fields from the client database
- Developed a fuel and mileage tax system to interface with the client application and automatically generate the required regulatory forms
- Created numerous multi-option inquiries and reports to support the overall operation
- Configured and installed additional workstations
- Wired and networked all workstations in the facility for sharing of data
